Job Description:
Sentry Management, Inc. a leader in the Community Management
industry is seeking a Portfolio Community Manager in our Hartford
division.SUMMARYThe Portfolio Manager (PM) is responsible for the
day-to-day facilities maintenance of the associations they manage.
The PM is responsible for coordinating with the corporate office
departments of Accounting and Support Services in order to respond
to the requirements of the association board of directors and the
needs of each individual community. The PM maintains policies,
standards, and practices both within and outside their assigned
territory and ensures adherence to Sentry's Goals, Values, and
Service Standard of our Foundation Principles.ADMINISTRATIVE
RESPONSIBILITIES:Maintain an organized filing methodologyServe as
liaison between association boards and legal counsel regarding
covenant violationsPrepare manager reports and financial summaries
to boards on a monthly basisManage the onboarding and exits of
associations Respond to requests, emails, and calls in a reasonable
amount of timeProvide written reports to boards regarding site
visitsCoordinate with Collections Department to ensure effective
assessment collection and follow the Collection Policy adopted by
the BoardReview late notices and A/R reports with regard to ongoing
delinquenciesCUSTOMER SERVICE RESPONSIBILITIESDocument, submit, and
coordinate insurance claims on associations' behalfIdentify
physical assets associations are maintainingIdentify and record
violations of association governing documentsAssist in the
implementation of enforcement policies as directed by the
boardDevelop and implement maintenance, repair, and replacement
programs approved by boardProject coordinationAssist the board in
developing rules and regulationsSustain maximum client
satisfactionServe as a helpful expert in exceeding customer
expectations on a regular basisSupport management team in
delivering the cadence of communicationCOMMUNITY MANAGEMENT
RESPONSIBILITIESAssist with preparation of and participate in
annual and general meetings, including mailings and noticesAssist
in performing property visitsManage vendor proposals, contracts
review and renewal, and prepare bid comparisons as requiredManage
architectural requests and approvalsMaintain and understand all
documents, Rules and Regulations, and conduct legal research as
neededCoordinate with other employees such as janitorial,
maintenance, administrative, and othersAnswer routine questions
from and troubleshoot issues with owners, tenants, guests, staff,
and vendorsRecommend risk management and insurance professionals to
boardsManage maintenance request from homeowners and boardCollect
all invoices and code for payment, and follow-up on monthly
assessments dueAttend Board meetings, take notes and prepare
meeting minutes for Board review and approval and record in
CommunityPro -; provide to division leader as requiredProvide board
and homeowner training on CommunityPro -APPLICANTS MUST:Posses
strong written and verbal communication skillsHave a working
knowledge of Microsoft Office SuiteBe able to work independently
with minimal supervisionBe licensed in some statesLicensed to
