Job Description Job Description We are looking for a detail-oriented and organized Administrative Assistant. In this role, you will assist with administrative tasks, communication management, and document handling while ensuring the seamless execution of daily office functions. This is a long-term contract position offering the opportunity to contribute to the effective oversight of medical conduct. Responsibilities: • Manage incoming and outgoing correspondence by reviewing, drafting responses, and ensuring proper distribution. • Coordinate meetings and travel arrangements, maintaining schedules and related logistics. • Maintain and organize both electronic and physical filing systems for efficient record-keeping. • Act as the liaison between office staff, external stakeholders, and the public to facilitate the flow of information. • Utilize Microsoft Office Suite to create and edit documents, spreadsheets, and presentations. • Perform accurate data entry tasks in software such as Microsoft Access, Excel, and Word. • Scan and save documents electronically to ensure proper archiving and accessibility. • Sort and distribute incoming mail to appropriate recipients. • Operate office equipment proficiently, including keyboards and software systems, to produce high-quality reports and correspondence. • Support additional administrative tasks as needed to maintain office productivity. • Proficiency in Microsoft Office Suite, including Word, Excel, Access, and PowerPoint. • Strong communication skills, both verbal and written, to interact effectively with various stakeholders. • Exceptional organizational skills with a keen eye for detail. • Ability to manage multiple tasks and prioritize daily responsibilities efficiently. • Self-motivated and capable of working independently with minimal supervision. • Familiarity with conduct processes in medical or similar regulatory environments that require attention to detail. • Experience in data entry and documentation with a focus on accuracy. • Skilled in operating office equipment and utilizing electronic filing systems.
